University Graduation

Event Overview:

We were brought on board as an expert logistics team to execute 2 back-to-back graduation days at The Royal Albert Hall. With 3 ceremonies taking place each day, the usual lead time on this project is 6 months. We delivered it in 2 months. Following this success. we were asked to support on an additional graduation later the same year. As well as executing the event logistics, our team developed an email communications plan that we distributed to 10,000+ graduants.

We provided the following services to the client:

• Delegate management of 10,000+ graduants
• Delivering a cohesive communication strategy
• Managing the graduation inbox to respond to all guest queries
• Overseeing the production for the Royal Albert Hall and ensuring the set up and execution were immaculate
• Managing all the suppliers onsite including gowning, decoration and floral displays
• Catering for VIPs and support staff
• Creation of the event registration site and management of 40-50 external staff responsible for the registration website
• Volunteer training and management of Imperial staff on the day
• Plotting an exact seating plan for the entire Royal Albert Hall
• Artwork and production of the graduation booklets, including checking all graduate names were correct and in order
